Terms and Conditions – Out of the Classroom

By booking and attending tutoring sessions with Out of the Classroom, you agree to the following terms and conditions:
1. Booking and Payment

All bookings are subject to availability and must be made through our online booking system.

Payments are processed securely via Stripe or PayPal.
-
Full payment is required before the session unless otherwise agreed.
-
Refunds and cancellations are handled as described below.
2. Refund and Cancellation Policy
-
Cancellations made at least 48 hours before the scheduled session will receive a full refund or the option to reschedule.
-
Cancellations made less than 48 hours in advance may not be eligible for a refund, except in exceptional circumstances.

Out of the Classroom reserves the right to cancel sessions due to unforeseen circumstances, in which case a full refund or reschedule will be offered.
-
If a student misses two consecutive sessions without prior notice, Out of the Classroom reserves the right to withdraw the student from the class.
-
For one-to-one tutoring, any eligible refund will be calculated on a pro-rata basis for the remaining prepaid sessions. Refunds for unused sessions in group courses may be offered at our discretion and are not guaranteed.
3. No Guarantee of Specific Exam Grades

While we aim to support student learning and progress, Out of the Classroom does not guarantee any specific exam grade or outcome.
4. Safeguarding and Behaviour
By signing up for any online lessons or services provided by Out of the Classroom, you agree to read and follow our full Safeguarding & Safety Policy. This includes adhering to our Code of Conduct designed to keep all students safe, respectful, and supported during their learning.
We expect both parents and students to:

Follow the rules outlined in our Code of Conduct during all classes.

Ensure behaviour and communication are appropriate and respectful at all times.

Understand that lessons may be recorded for safeguarding and quality assurance purposes.

Support the safety and wellbeing of all learners in line with UK safeguarding guidance and COPPA requirements.

Failure to follow these terms may result in a student being removed from class, and concerns will be raised with parents or guardians as appropriate.
Video On or Off?

Students are asked to turn on their video at the beginning of each lesson to check in with the tutor. While we do not insist that cameras remain on throughout the lesson, we encourage learners to do so to help create a more engaging and connected class experience. We hope that all students feel comfortable enough to keep their video on and share the virtual space respectfully with others.
Age Restrictions

Students must attend classes appropriate for their age group.

No student over the age of 18 will be permitted to attend lessons designated for students under 18.

Group classes are typically organised into these age bands to support effective learning and peer interaction:

Ages 16–18

While these age bands are generally maintained, exceptions may be made based on individual circumstances and tutoring needs.
5. Copyright and Use of Resources

All worksheets, resources, and teaching materials provided by Out of the Classroom are the intellectual property of Out of the Classroom and are protected under UK copyright law.

These materials are for the sole use of the individual or institution to whom they are supplied and may not be shared, copied, reproduced, distributed, or used commercially without prior written permission.

Any unauthorised use is a violation of copyright and may result in legal action.
6. Use of Online Resources

Tutors may use third-party online resources during sessions to support learning.

A list of all external online resources used will be provided in the course listing at the time of booking.

We strive to ensure all online resources comply with COPPA (Children’s Online Privacy Protection Act) standards and meet requirements of The Children’s Code, the UK statutory code of practice for online services aimed at children.

Out of the Classroom is committed to providing a safe, supportive, and inclusive learning environment for all students, whether in online or face-to-face tutoring sessions. We take safeguarding seriously and follow all relevant legal and best practice guidelines to protect the welfare of children and vulnerable adults.

All staff and tutors have undergone enhanced Disclosure and Barring Service (DBS) checks.

By signing up to any of our online classes or services, parents/guardians and students agree to abide by the following Code of Conduct and online learning expectations. These are designed to ensure that every learner has a safe, respectful, and enjoyable experience.
Before the Lesson Safe Learning Environment:

Parents/guardians must ensure students are in a quiet, safe space free from distractions, ideally with an adult nearby if needed.

Punctuality: Please log in a few minutes before the lesson begins. Students will be held in the virtual lobby until the scheduled start time.

Screen Name: Display only the student’s first name and surname initial (e.g., Amira J). Unregistered attendees will not be admitted.
Cameras, Dress Code & Adult Presence

Video Use: Students should turn on their video at the start of the session for registration.
-
Dress Appropriately: Students should be dressed as if attending a physical classroom – no pyjamas or inappropriate attire, please.
-
Adults Off-Camera: For group sessions, parents and siblings should remain off-screen to respect the learning environment and student privacy. However, they may be nearby if support is needed.

Parental Conduct: Adults in the vicinity should also use appropriate language and dress when in earshot of a live session.
Behaviour Expectations
We want every child to love learning with us. To maintain a safe and respectful online classroom, all students must:

Treat teachers and classmates with respect and kindness

Avoid interrupting, swearing, or using inappropriate language or gestures

Never share personal information (email addresses, phone numbers, etc.)

Non-Compliance
If a student fails to follow the Code of Conduct or behaves in a way that raises safety concerns:

They may be moved to the online waiting room

Parents will be contacted to discuss the situation

Repeated breaches may result in removal from future sessions
